Garment Sampling | Sample Submission | Sample Documents

Garment sampling is one of the major tasks of a merchandiser. S/He has to develop different kinds of samples at different stages with different requirements to be approved by the buyers. Buyers' approval of each sample allows proceeding to successive processes. Developing and taking approval from buyers to move on is termed as garment sampling process. Though sample requirements vary from buyer to buyer, the samples mentioned below are more or less the same for all the buyers.

Sample Submission
Merchandisers have to send garment sample to the buyers for approval at various stages. While submitting different types of garment samples, merchandisers have to take care of some factors as per buyers' requirements.

Sample submission documents
Some documents have to be prepared while sending the samples to the buyers for approval. Merchandisers prepare the following three documents while preparing the sample for dispatch. 
  1. Sample tag
  2. Covering Letter
  3. Spec sheet or measurement sheet or specification sheet
👉Sample Tag: The sample Hang-tag is attached to the fabric/garments. It can contain the following information: 
  • Sample Number 
  • Garment style
  • Composition 
  • Fabric/Garments type 
  • Shade 
  • GSM 
  • Price
👉Covering letter: In covering letter, Merchandiser mentions the below details:
  • Name of company/buyer that asks the sample 
  • Contact person 
  • Phone no of destination 
  • Brief description of the sample 
  • Weight and quantity of sample

👉Specification sheet: In specification sheet, Merchandiser mentions the technical aspects of the sample with quality lab results. Example- Knitted Garments T-Shirt: 
  • GSM of Fabric 
  • Fabric Type 
  • Half chest 
  • Garments length 
  • Sleeve length 
  • Armhole 
  • Shoulder with etc.
